During the last few months, the Insightly team has worked diligently to bring a full suite of feature updates to all four Insightly products: CRM, Marketing, Service, and AppConnect. Insightly CEO Anthony Smith showcased all of these new features and improvements to our customers worldwide during the Q2–2022 Product Update webinar while highlighting how these changes can help to drive more value for you and your business.

What’s new with Insightly AppConnect?

AppConnect is an integration automation platform that allows you to connect Insightly and its data to all the other software applications you use to get work done every day. Out of the box, it includes over 500 pre-built connectors to applications across HR, Finance, IT, Sales, Marketing, Productivity, and Data storage.

Updates to Insightly AppConnect:

  • Added new Marketing, Data Storage, Database Programming Language Connectors
  • No usage or record limits or restrictions on data transfers with AppConnect
  • New bulk action to run an AppConnect integrations across multiple records
  • It’s now much easier to set lookup field values in a recipe in AppConnect

 

What’s new with Insightly Service?

In September of 2021, Insightly Service was added to the platform. It’s a powerful, yet easy-to-use service and support application that’s built natively within Insightly, connecting seamlessly with all the applications you use today to run your business. Since then, we added a new mobile application for both Apple and Android users, while also updating three key areas of the Service product:

  • Knowledge Base 
  • Ticketing Management
  • Customer Portal 

Knowledge Management Improvements

Insightly’s Knowledge Base is a convenient reference designed to save time and resources for customers. It’s also a great source of all documentation that teams need when learning about the product.

Updates to the Service Knowledge Base within Insightly Service:

  • Reorganize articles in bulk
  • New Insightly API endpoints for knowledge article management
  • Generate a table of contents in an article automatically from a new editor button
  • Archive knowledge articles in bulk from within list views
  • Last published date field to article lists and details
  • New reports available for knowledge base articles

Ticketing Management improvements

Ticketing is at the core of a team’s ability to track, respond to, and manage customer service requests and we have a significant number of feature updates to report here as well.

Updates to ticketing management within Insightly Service:

  • New mobile and tablet applications
  • New API endpoint for Insightly Service
  • @ mention other agents within a ticket comment
  • Ability to see when other agents are viewing or responding to a ticket
  • Automated customer satisfaction surveys
  • Additional capabilities around ticketing merging
  • Improvements to processing incoming emails 
  • Auto-hiding of quoted reply text in the ticket view 
  • Improved visibility of customer service tickets

Customer Portal improvements

Another Insightly Service update is to our community management experience. You can use the customer portal to organize, manage, and order community content like topics and posts, moderate user comments, flag posts and comments as spam, or edit and clean up user-posted content.

Updates to the Customer Portal within Insightly Service:

  • New capabilities for moderating, editing, and approving community posts and comments
  • Insightly now monitors and auto-flags offensive and spam user-generated content using AI to save time
  • Ticket forms in portals can now be completely  customized including custom fields
  • New ability to customize 404 pages

 

What’s new with Insightly Marketing?

Check out these updates to the behavioral analysis and segmentation functionality of Insightly Marketing.

Segmentation improvements

Segmenting your customer base and targeting a subset of people with exactly the right communications or journey is now easier than ever in Insightly Marketing with powerful new capabilities. Users can now segment and filter prospect’s static and dynamic lists by activities including:

  • Emails sent
  • Journeys completed
  • Forms filled
  • Web pages viewed
  • Links clicked
  • Video’s viewed
  • Emails opened

Email system improvements

Email systems often include security software that opens and scans every incoming email for malicious content and scams. Those automated bot email opens and clicks can cause issues for marketers in journeys and email analytics. 

Insightly Marketing now includes newly added AI-based capabilities to detect and filter out these automated bot clicks and phantom opens so marketing journeys that branch off email opens or clicks work reliably, lead scoring is accurate, and email engagement analytics are correct.

 

What’s new with Insightly CRM?

The Insightly team has also been working on ways to not just improve each product’s functionality, but also the integration between products. In the past 6 months, we’ve invested heavily in the integration between Insightly Marketing and Insightly CRM to make it more seamless.

New Cross-Object List Filtering Capabilities

Easily combine Marketing data and CRM data together in the Insightly platform with new capabilities in list filtering:

  • Filter CRM contact and organization lists using filter criteria from Insightly Marketing Prospects 
  • Filter Leads in Insightly CRM by using filter criteria from Insightly Marketing Prospects
  • Filter opportunities by the linked organization fields

New Quotation Productivity Improvements

Easily manage, search, and generate quotes with these updates to the quoting experience within Insightly CRM:

  • You can now use the same list filtering and search functionality in the standard list views to quote products, including the ability to filter by multiple fields and search within a list
  • Added support for custom fields on quote products and quote line items, and in our API
  • Now configure fields displayed in modals for managing quote products & quote templates
  • New capability to quickly clone a quote
  • Now one click to email linked contacts in opportunities, projects and organizations

What’s new with the Insightly platform?

Rather than just affecting one application, there are several improvements that will affect the entire Insightly platform:

  • Configure Insightly to display a fixed number of  columns of data in any details view
  • New improvements to email notifications after  bulk updating records
  • Search dashboard lists to find the right dashboard & a new setting to lock all dashboard cards in position
  • Automatically log back into the last app used
  • New detailed login history of every user login for security purposes
  • Audit logging now includes a history of changes to made to related links

Today we are excited to introduce a set of new marketing automation features that will enable Insightly Marketing users to easily plan, create, test, and track sophisticated marketing campaigns and better engage with their existing and prospective customers.

The new features address two big challenges that many marketing teams face today. The first challenge is adjusting to a fully remote work and organizing all creative and analytical work in a productive and engaged manner. The second challenge is finding ways to reach and convert the right customers at the right time with relevant and meaningful messages.

Landing Pages

Use drag and drop to create landing pages with minimal effort. The feature comes out of the box with a selection of templates. You can also build your own branded landing page templates.

All landing pages include full analytics, so you can see who visited them and where they came from (ads, social media, search engines, referral websites, etc.).

Easily embed an existing form into a landing page or create a new one right in the wizard. Set up automatic follow-up actions for anyone who fills out a form: send an email, add them to a journey, or notify the sales team.

Access more than one million free stock images in the built-in image editor. Crop and customize images with text and filters.

Embed YouTube videos into landing pages and measure the engagement.

Publish your new landing page with just one click. Insightly will automatically make it discoverable and available to search engines. Add a SSL certificate to the page for encryption and have all your landing pages accessible via your custom domain name.

The new landing pages feature is available in Insightly Marketing now.

A/B & Multivariate Email Testing

The next two big features in Insightly Marketing Q3 release are A/B email testing and multivariate email testing.

A/B email testing is freely available on all plans and allows you to test different versions of an email with a percentage of the audience you’re sending to. See which email version gets more engagement in either opens or clicks, then automatically send the most engaging version of that email to the remainder of your audience.

Get real-time reporting of email engagement statistics and learn exactly which versions of your email were more engaging and why.

With A/B testing you can test up to three different combinations of:

  • The email subject line and preview text
  • The email body content
  • The email sender name and address
  • The send time and day

Insightly automatically keeps track of the engagement statistics of each email version sent, determines the winning version, and sends that winning version to the remainder of your list.

Multivariate email testing is the more advanced version of A/B testing and allows you to simultaneously test up to eight different combinations of the email subject, body, sender address, and the send time.

Both A/B testing and multivariate email testing are available in Insightly Marketing now, with Professional and Enterprise plans.

Automatic Prospect Scoring & Grading

The prospect score calculates how interested any prospect is in your products or services. The prospect grade designates how well that prospect fits your ideal customer profile.

For example, if a prospect is interested in your products or services, and they match your ideal customer profile, they can be automatically passed to sales for a follow-up.

The prospect score is a numeric score that is calculated for every prospect based on the interactions they have with your marketing assets, like filling out a form on your website, reading a blog post, downloading a white paper, opening and clicking on emails, attending webinars, or clicking a link in a social media post.

Assign a specific value to different marketing assets, and Insightly will automatically calculate the score for each prospect as they engage with more of your marketing assets, or degrade it over time if they are not showing interest. If the prospect is showing a lot of interest and has a high score, you can pass them to sales, add to a custom list, tag, and/or follow up with them.

The prospect grade is a little different—it is not a numeric score, but rather a school type grade with A+ through F range. The grade is assigned based on how closely the prospect matches your ideal customer profile. You can use specific job titles, geographical areas, industries, or any combination of things to grade your prospects.

You can set thresholds for both score and grade before a prospect is passed on to sales as a lead. If a prospect has a high score and has a high grade, like an A+, they could be your next customer.

Scores and grades are constantly recalculated in the background for all prospects.

All versions of Insightly Marketing offer scoring and grading, but Insightly Enterprise Marketing customers can develop multiple scoring models and grading profiles. The scoring model feature will be released later in October 2020, but the grading feature is available now.

New Journey Builder Capabilities

Get more out of Insightly’s customer journey builder with nine new check steps.

Track more actions right within a journey to better understand your website visitors’ or prospects’ behavior and intent. From tracking webinar registration status to content downloads to interactions with social posts and ads, you can now check user actions within a specific time frame.

For example, you can check if someone has visited the pricing page of your website in the past four weeks, filled out a form, or downloaded a white paper from your website. You can even check if a provided email address is from a business or personal email account.

Use merge tags in the subject and description of CRM Tasks inside journeys to easily share more context and data with task assignees and facilitate a better informed follow-up with a prospect.

These improvements will be available to all Insightly Marketing users later in October.

New Spam Control Measures in Forms

Control the quality of form submissions on your website to make sure they are not from bots or other automated spam tools.

Insightly now checks and performs heuristic mapping on form submissions to block a flood of form submissions within a short period of time from the same bad actors.

The new checks also ensure the validity of the domain name of an email address and server. You can also turn on “corporate email addresses only” to auto-reject submissions with email addresses from free services, such as Gmail, Yahoo Mail, etc.

With the help of a honeypot field—or a hidden field on a form that a human would not be able to fill out, but bots would—you can now discard all spam submissions.

You now have an option to include Google’s reCAPCTHA on your forms, adding an extra level of verification on your form submissions.

These new spam prevention measures are available now.

New Capabilities in Insightly Analytics

Get more insights and improve your marketing with Insightly’s new analytics capabilities.

If you have YouTube videos embedded on your website, blogs, or landing pages, Insightly can automatically track and log your prospects’ engagement with the content. You can see who started playing the videos, how many prospects got through watching the entire video, and how often they watched it. That data can be logged to prospect timelines. Just click one checkbox in the settings to turn on that capability.

Track interactions with your forms, even if the website visitors don’t submit the form. So, if a visitor or prospect partially fills out a form and then navigates away from your website or loses their connection, Insightly still captures all the info provided on the form and saves it in the analytics database. You can use this information to determine just how many questions users will fill out before abandoning the form.

Finally, log custom events from your visitors or prospects into Insightly Analytics pipeline. By default, Insightly Analytics records page views. Every time one of your site visitors views a web page with the analytics tag, we record that page view.

Now you have an option to record other events in Insightly Analytics: custom events, like calls to action, e-commerce events, like ‘add to cart’, product configuration settings, IOT events from internet connected devices, and other events you would like to see in a prospect’s timeline.

The new Insightly analytics features will be available in October 2020.

New Static & Dynamic List Capabilities

Segmenting your prospects and customers into lists that you can target with your marketing activities is one of the core things that marketers do, and Insightly is bringing more list creation capabilities in this release.

You can now filter the prospects in your lists based on more than 25 new filter types.

The first set of new filters is based around the CRM data that is linked to the prospects in Insightly Marketing. Quite often your prospects are linked to either lead or contact records in the CRM, which in turn are linked to organization records.

You can now filter prospects in Insightly Marketing based on fields in the linked lead, contact, or organization records in CRM. For example, you can easily filter your prospects based on the address/country of the linked contact records. Insightly filters the prospects automatically in real time.

You can also filter prospects based on any activity or interactions they’ve had with your marketing assets. For example, create a list of all prospects that have received one of your marketing emails in the last four weeks, have visited your website in the past 14 days, and attended your last Zoom webinar back in June.

If you make that a dynamic list, it will be kept up-to-date as new prospects match the filters or fall out after they no longer match the criteria.

Use filters for some of the new Insightly Marketing capabilities, like filtering prospects based on if they have viewed one of the YouTube videos on your website, filled out a form recently, or visited the brand new landing page you created with the new Insightly Marketing landing page builder, clicked a call to action link in the e-newsletter, and/or downloaded a white paper in the past three months.

The ability to create specific lists of prospects with fine-grained filters based on their actions allows you to reach previously unknown or inaccessible audiences. For example, prospects that attended last year’s trade show who live in San Diego, but have not visited your website’s new product section, can now be added to a list and invited to a virtual demo of your new product.

The new list filters will be available to all Insightly Marketing users in October 2020.

Other improvements in Insightly Marketing

Here are a few updates in email authoring and sending experience.

Finish actions on list emails

List emails or batch and blast emails can now have finish actions that run after a prospect opens the email, clicks on one of the links in the email, or unsubscribes. Finish actions are a great way to automate tasks, like adding tags to the prospect, sending them an email, adding them to a list, registering them for a Zoom webinar, or running a Zapier integration.

Edit plain text version of email in email wizard

Insightly automatically generates a plain text version of an email for those recipients who can’t view the HTML version. Now you can also review and manually edit the plain text version of an email before the send.

Add emojis to subject and preview line

Use a new emoji picker to easily select emojis for your email subject line or preview text.

Use new email themed templates

We added quite a few new email templates in this release, so you have more to pick from when designing new marketing emails or looking for inspiration.

These new features are all available now.

In addition to unveiling major new capabilities in Insightly Marketing, we introduced a number of user interface enhancements and productivity improvements across all Insightly apps in Q3 2020 product release.

User Interface Enhancements

Over the past few months Insightly customers had requested a few user interface (UI) improvements. For example, the ability to show more than six records on one of the related tab grids when viewing an individual record. For datasets with hundreds of related records, scrolling through six records at a time can be a lot of clicks.

We solved this with the new feature that allows you to view 50 records at a time, potentially saving you a lot of clicks. When you click on the title of a related tab grid, you are now taken to a new page that shows just that grid and 50 records at a time.

The next UI request we had received was the ability to set the default tab that’s open when you’re viewing records. The Details tab is the tab we have open by default when viewing any record in Insightly. Now we allow you to configure which tab you want to set as the default tab. For example, in some record types, like Opportunities or Products, it may make sense to have the Related tab or the Activities tab open by default.

In this latest product release we’re also adding brand new Insight Cards on the right hand side rail of the Details page in Contacts, Opportunities, and Quotes. On the Contacts page, we already show different opportunities for that contact. We are now adding a new insight card for the primary organization related to the contact, opportunity, or quote you are viewing. You get all the pertinent details on the linked organization right there in a card on the right hand side. No extra clicks.

Finally, we’ve updated the security modal that pops up when you click on the padlock in the header of any Details page. We now show a lot more information about the record, including the current user viewing it, their role and profile, and the page layout that is used to render the page. So, if you have a lot of page layouts and you’re not sure which one is currently being used, clicking on the padlock icon will now tell you that.

These features will all be available in October 2020.

Platform & Productivity Improvements

We have doubled the number of API calls per second with our fantastic REST based API. On the 3.1 level API and above, you can now make an API call every 100ms or 10 calls per second. This is a big win for heavy API users.

We’ve also made a couple of improvements to workflow automation in this product release. We now provide customers with a complete and comprehensive log of all workflow executions: when they occurred, what records they affected, and how long they ran for.

You can now dig in to see if a specific workflow automation ran and if the rules you had in place worked the way you expected. If you’ve got a lot of workflow automations or they are highly complex, this can be a real boon in diagnosing issues or understanding what is happening behind the scene.

You can now also clone workflow criteria and save a lot of time. For example, you might have built up a complex workflow criteria set with quite a few filters. Now you can clone that criteria set in just one click, without having to duplicate it for a different set of actions.

Last quarter we released audit logging. Now we’re adding a new field history report that breaks down the changes to every field and the before and after results of every single field change, along with the user and time and date of that change. So, admins can now schedule an audit report that’s generated and emailed to them for every record and every field change for the objects they need to track for compliance purposes.

We also made improvements in Products, Pricebooks, and Quotes. You can now reorder products and quote line items on a quote. So you can choose which products appear in what order on any quote.

We added a couple of new related grids to the Product Details page. So when you’re viewing an individual product, you can now see which quotes and opportunities included that product.

Finally, you can now use merge documents functionality in Products, so you can easily generate product sheets and the like.

Here’s a quick summary of improvements:

  • Increase in API calls per second up to 10
  • New comprehensive workflow log of all executions, date and time, records affected, and execution time
  • Clone workflow criteria in 1 click
  • New field history report for audit logging
  • Now reorder products and quote line items
  • New related grids on product details page for quotes and opportunities
  • Merge documents functionality now available for products

All these features are available in Insightly right now.

Earlier this year, we introduced a suite of new sales force automation (SFA) and analytics capabilities that provide our customers with more control, flexibility, and actionable insights to better serve their own customers and grow profitability. From our comprehensive product and services catalog to flexible price books, to automated quotation system, to custom calculation fields and validation rules, to sales territory mapping — our customers gained access to enterprise-grade capabilities, except in a much simpler, more user-friendly interface and at a fracture of the cost.

We were happy to receive feedback from our customers and in this release we’re introducing advanced reporting tools, new dashboard visualizations, and platform and productivity improvements that we’ve developed with our customers’ feedback in mind. We’re also unveiling Insightly’s new help center and community portal with user guides, FAQ section, and content for specific use cases and industries.

New Quotation & Product Reports

Our new advanced custom quotation and product reports allow you to select and filter opportunity products and quotation line records, group and sum them, and build reports that you can schedule and email straight to your inbox on a custom schedule.

You can also:

  • Run these reports at anytime from within the reporting system
  • Share these reports with other users
  • Set custom user permissions

Product & Price Book Dashboard Additions

You now have the power to drill into product and quotes data and visualize trends and spot patterns using over 75 different chart and map types. Chart and map both opportunity products and quotation line items with our new dashboard visualization capabilities.

For example, you can map out which of your products have sold best in different states or territories, or how many quotations have included specific products at different times of the year.

Custom Fields in Tasks & Events

Better manage your time and projects with our new custom fields in Tasks and Events. Track exactly how much time it takes to perform different individual tasks and automatically roll up that info to see the calculated summary times for all tasks in a project or opportunity. To learn how to do this and to better understand calculated fields, check out this step-by-step tutorial in our help center.

This new feature makes a lot of our customers happy and is available on Insightly web app as well as on our Android and iOS apps.

Drag and Drop Layout Editor

With our advanced layout editing you can easily organize all relevant and important information and declutter your view in both details and related tabs.

Use drag and drop tool to easily add and remove fields, change the order of fields on the page, and modify sections for different users in both details and related tabs. Choose which tables or grids you would like to see on the related tab and in which order.

Flexible Multi-Column Layouts

This is another widely-requested feature from our customers that brings total flexibility in the page design and views. You can now customize individual sections on a page layout to be adapted to multi-column instead of single column. View all key information in small laptop displays and large external monitors at the same time, with the software switching to multiple columns if the screen is wide enough.

And because you can set the multi-column layout per section, you can preserve the single column layout where it makes sense for you.

Improved Data Entry, Linking, and Lookup

Save time and clicks with our new data entry and productivity additions.

Add a record (contact) and simultaneously link other records to it (organization data) in the same motion. You can do the same with inline linked records for all forms in Insightly, including your custom objects and fields.

Gain more visibility and insights into the depth and scope of your relationships with any contact. Use new table in the related tab to view peers, co-workers, and other key connections of your primary contact. With our new page layout editor for the related tab, you can also choose where on the page you would like to see this new table.

Notifications

Never miss an Insightly notification simply because you’re in another app or browser tab. This is great for multitaskers who are always switching between apps as well for users who keep lots of browser tabs open.

By default, on a Mac the notifications pop up in the top right and in Windows they appear in the bottom right. Both operating systems also keep a history of those notifications, so you can click to see prior notification from earlier in the day.
